If you have two or three flats, a register can handle this. Once you’re past five or six units, you’ll want a proper tenant management system.

Most landlords we speak to in Lucknow started the same way. A diary for rent, an Excel file someone in the family made, and a WhatsApp group with all the tenants in it. Honestly, for a single flat, that’s fine.

The trouble starts when things grow. Say you’ve got a PG near Hazratganj, two shops in Kanpur and three flats let out to families, and every one of them pays on a different date. Now you’re scrolling through bank SMS on the 7th of every month trying to work out who’s still pending.

In this guide, we’ll go through how tenant management actually works in India today, from verifying a new tenant to handling the deposit when they leave. We’ll also be upfront about when you need software and when you really don’t.

Why Spreadsheets and WhatsApp Stop Working After 5 Units

The problem with a spreadsheet is that it never tells you something is wrong. You only find out when a tenant insists they paid in March and you have nothing to show either way.

We hear the same five complaints from almost every landlord who calls us after their portfolio grows:

Flat 2 pays on the 1st. The shop pays around the 5th. The PG boys pay when their parents send money. You end up opening your bank app every morning just to keep track.

The rent agreement is somewhere. Maybe in an old email, maybe in the phone gallery, maybe in the almirah. Meanwhile, the 11-month term quietly ends, and nobody renews it.

At move-out, you’re sure you told the tenant about the broken geyser deduction. They’re sure you didn’t. There’s no written record, so it turns into an argument.

A tenant reported a leaking tap on WhatsApp. That message is now buried under three weeks of good-morning forwards.

Everything lives on one laptop, or in one caretaker’s head. If either goes, so do your records.

Any one of these is manageable. But put them together across 10 units and you’re losing a few hours every month, plus the odd rent payment or deposit fight that could have been avoided.

How to Manage Tenants in India: A Step-by-Step Guide

Nine out of ten rental headaches trace back to something skipped on day one: a missing document, a vague clause, a deposit nobody wrote down. So we’ll begin before the tenant even moves in.

Step 1: Verify the Tenant Before Handing Over the Keys

A flat sitting empty for a month hurts. A tenant who stops paying and refuses to leave hurts a lot more. So before anything gets signed, take the time to check a few things.

Ask for Aadhaar, PAN, or a passport, and look at the original, not just a WhatsApp photo of it. Get the previous landlord’s number and actually call them. Ask why the tenant is moving. For income, a salary slip or offer letter works for working professionals, and some proof of business for self-employed tenants.

Then get police verification done. Most state police departments now let you do this online. UP landlords can file it on the UPCOP app in about ten minutes. Lucknow and several other districts expect it to be done, and your local thana can tell you the exact rule for your area.

If you use tenant management software, all of these documents get saved to the tenant’s profile. Two years later, when you need that Aadhaar copy, it’s right there.

Step 2: Get a Written Rent Agreement

A verbal understanding doesn’t count anymore, at least not in UP. The Uttar Pradesh Regulation of Urban Premises Tenancy Act, 2021 makes a written agreement compulsory for every residential and commercial rental in the state. It’s modelled on the centre’s Model Tenancy Act.

At minimum, your agreement should spell out the monthly rent and due date, how rent will be paid, the deposit amount and what can be deducted from it, the term and notice period, any yearly increase, and who pays for repairs, electricity, water, and society charges.

On rent hikes, UP law allows a maximum of 5% a year for residential property and 7% for non-residential (source). If your property is in another state, the rules may differ, so check before you draft.

Step 3: Move Rent Collection Online

Cash is where most confusion comes from. “I gave it to your son” is hard to argue with. Online collection fixes most of this.

What works for most of our clients: a UPI link or QR code goes to every tenant on the 1st. A gentle nudge lands three days before the due date, and a firmer one on the day. Late fee written into the agreement? Let the system add it, so you’re not the one making that uncomfortable call. Receipts go out the moment money lands, which also saves salaried tenants from asking you for HRA receipts in March.

With rent collection software, all of this runs in the background. You open one screen and see who’s paid and who hasn’t, instead of matching bank messages to flat numbers.

Step 4: Keep a Proper Record of the Security Deposit

In UP, the deposit is capped at two months’ rent for homes and six months’ rent for shops and offices. You have to return it when the tenant hands back the property, minus any genuine dues.

Most deposit fights happen because nobody wrote anything down. Write the amount, date, and mode (cash, cheque, UPI) in the system the day you receive it. Walk through the flat with the tenant and shoot a video on your phone, room by room, with a timestamp on. Any deduction later gets a bill and a one-line reason next to it.

Step 5: Give Maintenance Requests a Proper Home

Your tenant shouldn’t have to call you at 10 at night about a blocked drain. Here’s the flow we set up for landlords:

Tenant clicks a photo of the leak and raises a request from the app.

You assign it to your plumber, electrician, or caretaker in one tap.

The tenant confirms it’s fixed and the request gets closed.

The cost is noted against that property.

Over time, this gives you a full repair history, which comes in handy for deposit deductions and at tax time.

Step 6: Keep Your Records Tax-Ready

The Income Tax Department treats rent as “Income from House Property”, and your CA will ask for the same four things every July: rent received, property tax paid, repair spend and vacant months. Log them monthly, and the July meeting takes twenty minutes instead of a weekend.

Manual Management vs Tenant Management Software

People usually compare the two on price. That’s the wrong comparison. What you’re really paying for with the manual approach is your own time, plus whatever slips through the cracks.

<colgroup>
<col />
<col />
<col /></colgroup>

Task

Manual (Excel + WhatsApp)

Tenant management software

Rent collection

Check bank app, match payments to names by hand

Payment link per tenant, ledger updates itself

Rent reminders

Call or message each tenant

Sent automatically before the due date

Late fees

Calculated and requested manually, often skipped

Applied automatically as per the agreement

Lease renewals

Easy to miss if nobody checks the sheet

Alert before every renewal date

Security deposits

Memory and loose notes

Amount, photos and deductions logged per tenant

Maintenance

Lost in chat history

Ticket per issue, from report to fix

Documents

Spread across email, phone and drawers

Stored against each unit and tenant

Reports for tax

Weeks of reconciliation

Property-wise statement in a few clicks

Data safety

One laptop or one person

Cloud backup, access by role

We’ll say this even though we sell software: if you own one or two flats and your tenants have paid on time for years, keep your Excel sheet. A phone reminder on the 1st is all you need.

It starts to make sense once you cross five units, or own more than one building, or run a PG or hostel, or have commercial tenants with separate maintenance charges. At that point, the hours saved add up quickly.

What to Look for in a Tenant Management System

Before you get impressed by a feature list, ask a simpler question: what happens when something breaks on the 1st of the month and 40 tenants are trying to pay? If nobody picks up the phone, the features don’t matter.

With that said, these are the things worth checking when you compare options:

Can tenants pay through UPI or a payment link, and do they get a receipt automatically?

Do reminders and late fees run on their own, based on each tenant’s agreement?

Will it alert you before a lease ends or a rent increase is due?

Can you store each tenant’s ID, police verification, and agreement in their profile?

Does it track the deposit along with move-in photos and any deductions?

Can tenants raise repair requests from their phone?

If you own several buildings, can you see all of them on one dashboard?

Does it give you a property-wise report you can hand to your CA?

Does it handle commercial units too, including common area maintenance?

Will they move your existing Excel data over for you?

Will someone answer in Hindi or English when you call, and do they know what an 11-month agreement or a society maintenance charge is?

Are you paying for 500 units when you own five? Pricing should follow your unit count.

One more tip from experience: ask the vendor for two landlord clients’ phone numbers and actually call them. Ask how fast support replies, and check that the contract says you can download all your data if you switch later.

Frequently Asked Questions

How do landlords manage tenants in India?

The basics haven’t changed much: check ID, file police verification, sign a written agreement, and take rent on UPI. What has changed is scale. Landlords with five or more units now commonly run reminders, deposits, and repair tickets through tenant management software instead of WhatsApp.

How can I collect rent online automatically?

Create a recurring UPI collect request or payment link per tenant, then add two reminders: one three days early, one on the due date. Rent collection software does both and marks the payment in your ledger the minute it arrives, with a receipt sent to the tenant.

Is tenant police verification mandatory in Uttar Pradesh?

Most UP districts, including Lucknow, expect landlords to register tenant details with the police. The UPCOP app takes about ten minutes. Since district orders differ, confirm with your local thana.

How much security deposit can a landlord take in Uttar Pradesh?

The UP Regulation of Urban Premises Tenancy Act, 2021 caps it at two months’ rent for residential property. For shops, offices, and other non-residential premises, the limit is six months’ rent.

How much can a landlord increase rent each year in UP?

Up to 5% a year for homes and 7% a year for commercial premises. The exception is when the landlord carries out improvements that the tenant has agreed to in writing, in which case a separate increase can be agreed.

Is tenant management software better than Excel?

For one or two flats, no. Excel does the job. From about five units up, software wins because you stop sending reminders, writing receipts, and tracking renewals yourself, and a crashed laptop no longer means lost records.

How much does tenant management software cost in India?

There’s no fixed price. It mostly depends on how many units and properties you have, and which features you actually need. Some companies, FusionCode included, also let you buy a one-time licence if you’d rather not pay every month.

Does tenant management software work for commercial properties?

Yes, if it’s built properly. Shops and offices come with 3- to 9-year leases, CAM charges, and several tenants under one roof. FusionCode’s platform runs those next to your residential flats on the same dashboard.

Conclusion: Manage Tenants the Easy Way

Managing tenants in India comes down to six habits: verify every tenant, sign a written agreement, collect rent online, track deposits, log repairs, and keep clean records. You can do all of this by hand for a flat or two. Beyond that, the right system gives you back hours every month and removes most disputes before they start.

FusionCode’s Tenant Management Software brings rent collection, lease tracking, tenant screening, deposits, maintenance, and reports into one cloud dashboard. It is built in Lucknow for Indian landlords, works for residential and commercial properties, and includes migration from your existing spreadsheets.

Want to see it on your own properties? Book a free landlord software demo or call +91-9151060965.

How to manage tenants in India comes down to a few simple habits: check every tenant’s ID and get police verification done, sign a written rent agreement, take rent through UPI with reminders going out on their own, and keep deposits, repairs, and payments recorded in one place.
